Terms and Conditions for attendees of .NET DeveloperDays 2025 Warsaw

I. General provisions
  1. The Organizer of the Event is the company DATA MASTER sp. z o.o., with a registered office at: Świdnicka St. 40, 50-024 Wrocław, Poland; VATID: PL8971789230, REGON: 022121927, KRS: 0000458822.
  2. The Ordering Party is a natural person or a legal entity that orders services using the Registration Form available at https://registration.developerdays.eu/warsaw/.
  3. The Terms and Conditions for attendees of the Event form an integral part of the Registration Form and apply to all attendees.
II. Event admission
  1. The joint completion of the following steps entitles the Ordering Party to have admission to the Event:
  2. a. Correct submission of the Registration Form available at https://registration.developerdays.eu/warsaw/.
    b. Receiving the Organizer's confirmation of the Registration Form acceptance.
    c. Submitting a payment of the appropriate amount and currency – following the rules specified in the section IV of the Terms and Conditions.
  3. Confirmation of acceptance or refusal of the Registration Form will be sent by the Organizer to the email address provided by the Ordering Party during registration, after the form has been submitted.
  4. The payment received in accordance with section IV of the Terms and Conditions constitutes the formation of a contract between the Organizer and the Ordering Party.
III. Terms and Conditions of the Event
  1. The Event — .NET DeveloperDays 2025 Warsaw — will take place on October 20 - 23, 2025 in Warsaw, in EXPO XXI Center on Prądzyńskiego 12/14 Street.
  2. The Event includes the following Event Elements:
  3. a. Full-day pre-conference training session conducted with personal attendance, taking place on Monday, October 20, 2025
    b. Conference conducted with personal attendance, taking place on Tuesday, October 21, 2025 - Wednesday, October 22, 2025
    c. Conference conducted with virtual attendance, taking place on Tuesday, October 21, 2025 - Wednesday, October 22, 2025
    d. Full-day post-conference training session conducted with personal attendance, taking place on Thursday, October 23, 2025
  4. The submission deadline for the Registration Form is: Friday, October 17, 2025. Registration after this date may be approved on the individual acceptance of the Organizer.
  5. Participation in the Event is reserved for the Ordering Party’s representatives in the number indicated by the completed Registration Forms. The Ordering Party must provide the names of these individuals not later than: Friday, September 12, 2025.
  6. The registration will be open until: Friday, October 17, 2025. The Organizer reserves the right to close the registration ahead of schedule, if all available seats for the Event participants are taken.
  7. The Organizer determines the Event schedule and reserves the right to amend it, even on the day of the respective Event Element. Specifically, the Organizer has the authority to adjust the schedule and presentation order.
  8. As the number of seats is limited, the Organizer cannot guarantee an individual attendee the opportunity to participate in a particular session.
  9. The Ordering Party takes full responsibility for any damage to the property where the Event occurs, caused by themselves or by persons designated by the Ordering Party to participate in the Event.
  10. The Organizer is not responsible for items lost, destroyed, or stolen during the Event that are owned by the Ordering Party or persons designated by the Ordering Party to participate in the Event.
  11. The Ordering Party is obligated to adhere to safety guidelines, including but not limited to the fire safety rules and any organizational or technical orders given by the Organizer’s representative.
IV. Terms and Conditions of payment
  1. The prices for participation in specific Event Elements are available on the Prices subpage of the Event website.
  2. The date of the Ordering Party's Registration Form submission affects the participation price for the Event. This impact is illustrated on the Prices subpage of the Event website. Each price applies only to registrations made within the indicated price period.
  3. The following forms of payment are available:
  4. a. Bank transfer
    b. Payment via PayPal
  5. The primary payment mode for the Event is prepayment. The prepayment is 100% of the Event fee calculated in the Registration Form, unless the parties agree otherwise. The participation fee for the Event must be paid within the timeframe specified on the proforma invoice or in the Registration Form – within 14 days after registration, but not later than on: Friday, October 17, 2025. If payment is not received by the Organizer within the specified time, the registration will be cancelled, unless the Ordering Party contacts the Organizer to negotiate individual payment conditions.
  6. The Ordering Party may take advantage of a special payment mode, allowing them to pay for the Event after it has ended. If the Ordering Party wishes to pay after the Event, they should complete registration through the normal process and then contact the Organizer to obtain a proper invoice with deferred payment terms. The conditions for post-event payment registration are as follows:
  7. a. Participation fees are calculated using the highest Last-minute pricing, and no discount codes are applicable.
    b. Prior to the Event, the Ordering Party must provide the Organizer with an order confirmation document signed by an authorized representative.
    c. The payment deadline is 30 days after closing the Event.
  8. In case when the Ordering Party completes the Registration Form less than 7 days prior to the Event, the Event fee must be paid before it starts. Participation in the Event will require a confirmation of payment in such cases.
  9. The order processing time is 7 days, starting from the moment of successful payment authorization. Within this timeframe, after receiving the payment, the Organizer will issue a VAT invoice to the Ordering Party.
  10. The Organizer will send electronic invoices to the email addresses of the person making the registration in the name of the group and all the registered attendees. Valid email addresses should be given by the Ordering Party using the Registration Form. The Organizer will not send paper invoices through the mail.
  11. The prices shown are net and are subject to VAT at a rate determined by the nature of the specific Event Element, in accordance with the Goods and Services Tax Act of March 11, 2004, with later amendments.
  12. The Ordering Party registering participants using the Registration Form is fully responsible for covering the Event participation fee.
  13. All wire transfers costs are responsibility of the Ordering Party and the net amount received into Organizer's account must match the total indicated on the invoice. Please use OUR wire transfer option or SEPA transfers within EU.
  14. Payments processed through PayPal are subject to a surcharge.
  15. Fast payments are processed by Autopay.
V. Substitution and cancellation policy
  1. The Ordering Party has the right to withdraw from the contract and, as a result, to cancel their participation in the Event within 14 days after registration. To do so, the Ordering Party must send a written notice of cancellation by email to the following address: info@developerdays.eu.
  2. Acceptance of the cancellation will be confirmed by the Organizer by sending a confirmation email to the address provided in the registration. The paid Event participation fee will be fully refunded to the Ordering Party.
  3. The Ordering Party has the right to substitute an Event Participant up to 14 days before the Event begins. In such cases, the paid registration fee is not refunded.
  4. If the Participant does not show up at the Event, the Ordering Party is responsible for the full fee for participation in accordance with the Registration Form.
VI. Complaints policy
  1. A complaint submitted by the Ordering Party in connection with the non-performance or inadequate performance of the services for reasons attributable to the Organizer should contain at least the following:
  2. a. the name and contact details of the person making the complaint
    b. the email (login) linked with the participant's account to which the complaint refers
    c. the subject of the complaint, including the circumstances justifying the claim
    d. a signature of the person submitting the complaint
    e. the current date
  3. A complaint shall be sent by email to: info@developerdays.eu.
  4. A reply shall be delivered to the email address given during a submission of the complaint.
  5. The complaint shall be considered and delivered within 14 days from the date of receipt of the written notification, unless a different time limit is set by the relevant regulations.
  6. Where it is necessary to obtain additional explanations from the Ordering Party with the aim of considering the complaint, the time limit for responding to the complaint shall be extended by the time of providing the explanations by the Ordering Party, of which the Organizer shall inform the Ordering Party.
VII. Changes in schedule and participation fees
  1. The Organizer has the right to extend the registration period and modify the dates of the price periods, thereby changing the deadlines for paying the Event participation fees.
  2. The Organizer has the right to close the registration for the Event or its individual Elements earlier, if the number of participants exceeds the capacity of the room allocated for a particular Event Element.
  3. The Organizer will notify the Ordering Party about any changes in the Event schedule at https://developerdays.eu/warsaw/.
  4. The Organizer has the right to waive or reduce the Event fees for selected persons or groups.
VIII. Event cancellation
  1. The Organizer guarantees that all reasonable efforts will be made to ensure the quality of the Event matches its description.
  2. The Organizer reserves the right to cancel the Event in case of unforeseen circumstances. In such a scenario, no payments made by the Ordering Party will be refunded. The Ordering Party has the right to transfer the payment to the next edition of the Event or withdraw from participation.
  3. The Organizer defines the unforeseen circumstances mentioned in point VIII.2 as:
  4. a. floods
    b. a fire in the venue hosting one of the Event Elements
    c. war or hostilities
    d. a severe failure in the building hosting one of the Event Elements, including but not limited to malfunctions of the electrical, plumbing, gas, heating, air conditioning, fire protection, or other system breakdown that poses a threat to the safety of individuals present in the building
    e. riot, commotion
    f. a transportation disaster, such as road, air or rail accident that obstructs access to the Event venue or compromises its safety
    g. all other circumstances that prevent the Event from being carried out as planned or pose a threat to the life or health of the Participants if the Event goes ahead
  5. To the maximum extent allowed by Polish law, the Organizer excludes its liability for any damages suffered by Participants related to the organization, conduct, cancellation or rescheduling of the Event. The Organizer is not responsible for any lost profits of Participants resulting from these circumstances. In the case of a concurrence of contractual and tort liability, the Participant may claim compensation only based on the provisions of this paragraph within the limits described above.
IX. Final provisions
  1. Additional information and provisions applicable to the Participants of the Event:
  2. a. As a result of registration, a contractual agreement for participation in the Event is formed, with the provisions of these Terms and Conditions being an integral part of the agreement.
